Meeting Notes:
Clubhouse Maintenance and Facility Updates: Karen reported that all fire sprinkler heads in the indoor pool were replaced, a three-year review of the fire pest system for the sprinkler system was completed, indoor and outdoor fireplaces were cleaned and serviced, outdoor fireplace igniters were adjusted, the kitty pool received several patches, the hot tub was drained and cleaned monthly, an information TV was installed outside the office, bad cable boxes for outdoor TVs were replaced, a treadmill received a new deck and belt, and outdoor pools were covered and water lines winterized.
Upcoming Fall and Winter Events: Karen outlined upcoming events, including Left Right Center on Friday with Jose running the Big Bucks Bingo, a homemade mozzarella class on the 10th, and a kids' paint-your-pumpkin event on the 11th which might be canceled due to receiving only two responses. Additional events include regular happy hours, a potential trunk-or-treat for Halloween requiring volunteer cars in the lower parking lot subject to cancellation due to low volunteers, David's tree team trivia night, the Diwali Festival of Lights, a ladies' night, a holiday dance party, an ugly Christmas sweater bingo, and a visit from Santa in December, alongside a donation drive requesting new winter hats, gloves, and scarves for the Daily Bread Food Pantry.
Budget Process Overview: David discussed the ongoing budget process, noting that the finance committee, consisting of representatives from each community, has met twice and will hold a couple more meetings before finalizing the budget to present to farm out to the board for a vote expected at the October 13th meeting.
Property Sail Maintenance: Steve Cook raised a concern about the sails coming down on the property after a storm. David explained that a resident notified management, and Five Star was brought in to tie them up to prevent ground damage, with a thank you extended to Frank for reporting the issue.
Food Truck Participation Challenges: Laur brought up an issue regarding a decrease in food trucks compared to last year. Karen explained that barbecue trucks stopped coming because they were not making enough business or achieving their desired revenue within their two-hour window, compounded by rising costs of goods and fuel. Furthermore, Karen noted that many trucks require a minimum sales quota ranging from $900 to $1,500 and request the clubhouse to subsidize the difference if the quota is unmet.
Board Member Introductions and Representation: An audience member requested introductions from the board members. David introduced themself as the representative for The Village and board president, Mario introduced themself as the representative for The Mews and Ridge, Lucille introduced themself as the representative for The Hills, Deirdre introduced themself as the representative for The Enclave, and Dana dialed in as the representative for The Woodlands. Robert Darwin from The Meadows inquired about community representation on the board, to which Jaime Polatsek explained that they are reaching out to the developer (Toll Brothers) to determine the timeline for turning board representation over to owners.
Summer Pool Season Review: Karen reviewed the summer season, stating the pools are now closed after a successful season with few issues, a spectacular theme, new furniture, and new shade structures, and invited participants to contact her or Jose with new event ideas.
New Year's Eve Party Planning: Jose provided details on the upcoming New Year's Eve party, noting that save-the-date notices have been sent out and RSVPs will be required. Jose stated they are working with Patrice to determine capacity limits of around 120 people for the Club Room and Tavern combined and finalize details regarding security and cleanup, with a final email going out in about two weeks.
Clubhouse Carpeting Enhancements: An audience member asked about replacing worn carpeting downstairs in the hallway and stairwells. The board responded that carpeting enhancements are being considered for next year's budget as a large undertaking for a potential round three of clubhouse enhancements, following round one and two updates to the Club Room and Tavern.
Upcoming Meeting Schedule and Format Discussion: The board outlined the upcoming meeting schedule for October 13th to finalize and vote on the budget and November 11th, noting that meetings are typically skipped in December. A discussion ensued regarding whether the October budget meeting should be held in person or virtually, with audience members suggesting an in-person meeting is better for budget questions, after which David noted a majority vote in favor of an online-only meeting and subsequently adjourned the session.
